What information Praze holds, why we hold it, and what you can ask us to do about it. In plain English, because a policy nobody can read protects nobody.

Who we are
Praze is a review-request service for UK trades businesses, run by Billy Pitman, trading as Praze, at 42 Grove Road, Portland, Dorset DT5 1DA. We are registered with the Information Commissioner’s Office.
For anything in this policy, write to prazereviews@gmail.com.
If you got a text from us
You were sent a message because a trades business you used asked us to send it on their behalf, after they did work for you. They chose to send it; we are the system they used. That means the business decides what happens with your details, and we only act on their instructions.
To stop it: reply STOP to the text. That is permanent. It stops every future message from that business through Praze, not just the one you replied to, and it takes effect immediately.
We hold your name, your phone number or email address, the date of the work, whether the message was delivered, and whether you opened the link. Nothing else. We never sell it, never use it to advertise anything, and never message you about anything other than the job that business did for you.
If you want it deleted, reply to the text or write to us at prazereviews@gmail.com and we will pass it to the business and to our own records. We would rather do it than argue about it.
If you run a trades business using Praze
Two different sets of information are involved, and they work differently in law.
Your own details — your name, business name, email, phone number, your Google review link and what you pay — are ours to look after. We use them to run your account, take payment, and write to you about the service.
Your customers’ details are yours, not ours. You decide who gets asked and what for; we hold and send on your instructions. In data protection terms you are the controller and we are your processor. What that obliges each of us to do is set out in our data processing terms, which form part of your agreement with us.
What we collect, and why
- Account details — name, business name, email, phone, time zone, Google review link. To run the account and to write to you about it. We need this to provide what you are paying for.
- Payment details — handled entirely by Stripe. We never see or store a card number; we keep only Stripe’s customer reference and whether the subscription is paid up.
- Your customers — name, mobile number and email address where you give one, the job and when it was done, and any note you add.
- Messages — exactly what was sent, when, whether it was delivered, and whether the link was opened. We keep the wording that actually went out so that “what did you send my customer?” has a truthful answer.
- Link opens — the time a review link was opened and the IP address it was opened from. The IP is kept so that a suspicious burst of clicks can be told apart from real customers.
- Replies — if a customer texts back, we store what they wrote and show it to the business, so a complaint reaches a person instead of disappearing.
Who else is involved
We use a small number of companies to do specific jobs. They act on our instructions and nothing more. None of them is allowed to use your information for their own purposes.
- Twilio — sends the text messages.
- Resend — sends the emails.
- Stripe — takes the payments.
- Clerk — handles signing in, so we never hold your password.
- Google — we use Google’s business search to find your listing and read your public review count. No customer details are ever sent to Google.
- Railway — hosts the service and the database.
Some of these are based outside the UK. Where information leaves the UK it is protected by the safeguards the law requires, which for these companies means standard contractual clauses or an adequacy decision.
We never sell personal information, and we never share it for advertising.
Cookies
We do not use analytics, advertising trackers or profiling of any kind. There is no cookie banner because there is nothing to consent to.
Two cookies exist:
- Signing in — set by Clerk to keep you signed in. Without it the dashboard cannot work.
- praze_ref — set for thirty days if you arrive through somebody’s referral link, so that the person who recommended us gets credited. It holds a short code and nothing else.
How long we keep things
Account information is kept for as long as you have an account, and for seven years afterwards, because records of what was sold have to be kept for tax.
Customer details and message history are kept while the account is open, so that a business can answer questions about its own past work. When a customer asks to be erased, we clear their name, number and email and keep only the fact that a job happened, so the counts a business relies on still add up.
Close your account and ask us to delete it, and we will remove your customers’ details entirely.
What you can ask for
You have the right to:
- see what we hold about you;
- have it corrected if it is wrong;
- have it deleted;
- get a copy in a form you can take elsewhere;
- object to how we are using it, or ask us to restrict it.
Ask at prazereviews@gmail.com. We will answer within a month, and there is no charge. If you are a customer of a business that uses Praze, ask them or ask us — either works, and we will make sure it reaches the right people.
If you think we have got it wrong, you can complain to the Information Commissioner’s Office at ico.org.uk. We would rather you told us first so we can put it right.
Changes
If this policy changes in a way that matters, we will tell account holders by email before it takes effect rather than quietly updating the date at the top.
